The Conservatoire seeks to provide an outstanding creative education to all who use our services. The Front of House Assistant is the first point of contact and fulfils a vital sales and support function. Utilising their customer service expertise and meticulous attention to administrative process, they help ensure the efficient operation of the front desk of the Conservatoire at its busiest times. Excellent interpersonal skills and an ability to problem-solve within a busy and demanding environment are at the heart of the role.

The key purpose of the role is summarised as follows:

  • Actively promoting and selling courses at the Conservatoire

  • First point of contact for customers

  • Support with the efficient running of courses and tuition

  • Administrative and marketing support

Areas of Responsibility

Actively promoting and selling courses at the Conservatoire

  • Actively promoting classes to prospective customers, providing both pro- active and re-active advice as well as up to date and accurate information about the Conservatoire’s courses, tuition, events and other information.

  • Receiving visitors and prospective students and dealing with enquiries from the public, students and tutors in person, on the phone and via e- mail.

  • Successfully processing enrolments and fee payments in person, online and over the telephone and entering data relating to these payments.

First point of contact for customers

  • Positively representing the Conservatoire as the first point of contact

  • Resolving problems or queries at first point as much as possible and then referring on to the appropriate person as needed.

Support with the efficient running of courses and tuition

  • Inputting and maintaining accurate data in the customer database.

  • Assisting with the delivery of course-related email communication with customers.

  • Maintaining group class registers, and providing administrative support for tutors

Administrative and Marketing Support

  • Providing general administrative support to the office team, including filing, spreadsheet entry, and email campaigns.

  • Pulling data from the customer database for analysis.

  • Maintaining and creating excel spreadsheets, linked documents and mail merges.

  • Uploading content to the website.

Reporting Structure

The Front of House Assistants report directly to the Operations Development Manager.

Working Location

The Front of House Assistants will normally work on site at the Conservatoire, but also occasionally at other locations as necessary.

Working Hours

7.5hrs per week. Sundays 9:30am-5:00pm


Annual salary of £21,000 pro rata from 40 hours per week


25 days pro rata from 40 hours per week, in addition to statutory, public or other official holidays, to be taken with due regard to the efficient operation of the Conservatoire and by agreement with the Operations Development Manager.

Person Specification for Front of House Assistant post

Qualifications / Training

  • Maths and English at A*-C GCSE or equivalent

Knowledge & Experience

  • Experience of working in a busy Front of House environment, preferably within arts education

  • Extensive knowledge of PC and Microsoft Office software, particularly Excel

  • Previous knowledge of a customer management database


  • Excellent customer service skills

  • Confident to cross-sell to customers

  • High level IT skills

  • Ability to work effectively within a small team

  • Ability to prioritise tasks, manage workloads from multiple sources and meet deadlines

  • Good written communication skills

  • Numerate
